Check List:

  1. Vehicle type and vehicle owner

  2. Licence plate and nationality
  3. Chassis length
  4. VIN
  5. Max. weight (kg)
  6. Empty weight (kg)
  7. General inspection
  8. Saftey inspection
  9. T9/B3 and characteristics
  10. Confirm/ reject asset

Necessary when opening each new document:

  • It is very important to check at the beginning if the licence plate is the same on all uploaded documents.
  • Everything that is written thickly on the Check List are mandatory fields for the carrier and always have to verified. Other fields are optional and only need to be verified when filled out.
  • Next to each filled out field in Asset is a number in brackets. Under Document Management, the individual documents are numbered. You will always find the data to be checked in the document with the matching number. 

1. Vehicle type and vehicle owner (mandatory)

Open under the tab “Document management” in Asset the document with the matching number.

The document should look like the example image on the left, the vehicle registration certificate (Fahrzeugschein).

You find the vehicle owner in the fields C1.1-C1.3.

The vehicle type can be found in field 4 or 5. “BA08” in field 4 stands for truck. In field 5 it is written out.

2. Licence plate and nationality (mandatory)

In the same document vehicle registration certificate (-> Fahrzeugschein) check the conformity of the licence plate number in field A and the nationality with the data provided.

3. Chassis length (mandatory)

The selection of the length “feet” of the motor vehicle refers to the length of the container that fits on the truck. The length in field 18 of the vehicle registration document refers to the total length of the vehicle = loading area + driver’s cab.

For
20 Feet ~ 6 m
30 Feet ~ 9 m

To confirm the right length add 2-3 m for the driver’s cab. This should result in the length of field 18.

4. VIN

In the same document vehicle registration certificate (-> Fahrzeugschein) in which you have just checked the conformity of the nationality and the number plate, you will also find the VIN number under the field E

The characters I, O and Q are not used in the VIN number because of the risk of confusion.

Check that the VIN number matches the one on the document.

5. Max. weight (kg)

The maximum permitted weight for the towing vehicle can also be found on the registration certificate document under under field F2.

Check whether the max. weight entered here also corresponds to that on the document. 

6. Empty weight (kg)

​​​​​​​You will also find the weight of the vehicle without load in field G on the vehicle registration certificate.

Repeat: The number next to the pdf sign, next to the field to be checked, is the number before the document to be checked. 

Check that the weight indicated corresponds to the weight on the document.

7. General inspection 

First of all, check whether the registration number on the uploaded document matches that of the asset.

Then check whether the date of the general inspection (Hauptuntersuchung = HU) entered matches the date on the uploaded document.

Important: The validity of the general inspection ends with the last day of the month. In the example on the left, the validity ends with the 31st of January.

For components with Swiss & Liechtenstein nationality the documentation for the HU does not include a date for the “next inspection” but if the inspection is successful the HU is automatically extended by one year from the date of the inspection.

8. Saftey inspection 

First of all, check whether the registration number on the uploaded document matches that of the asset.

Then check whether the date of the safety inspection (Sicherheitsprüfung = SP) entered matches the date on the uploaded document.

If there is no extra document for the safety inspection, it is possible that the vehicle is a new registration. After initial registration, the component only has to undergo its first safety inspection after 30 months / 2 1/2 years. To check this, we find the date of the new registration in field B of the vehicle registration certificate and check whether the SP is still valid or no longer valid since the first registration.

Important: The validity of the safety inspection ends with the last day of the month. In the example on the left, the validity ends with the 31st of July.

9. T9/B3 validity and characteristics 

First of all, check whether the registration number on the uploaded document matches that of the asset.

Both the validity date and the characteristics of the T9/B3 test can be found on the same document.  

All characteristics that are not crossed out are valid. 

OX is an outdated characteristic, which is not being issued since 2017 when it was merged into FL. however, it shows up on certificates before that. we still support the characteristic on the platform (and keep it for a while for compatibility reasons), but will eventually phase it out

 for now:

  • not having the OX in our field is fine in this case.
  • for other possible cases: an OX in our field is ok, if there is an FL in the current document

9. Confirm/ reject Asset 

If all the specified data matches the data on the documents, then the whole asset can be released via the button. 

If only one piece of information is wrong, the entire asset must be rejected

If an asset has to be rejected because of one or more incorrect items, be sure to list all incorrect items under Reason for rejection
